Annual Assessment (AES)

Annual Assessment - Overview

The college's new Annual Planning and Assessment Reporting Process was rolled out in AY19-20. It was born out of the college's assessment of assessment process: a systematized process for annual assessment for both academic and administrative and educational support (AES) programs/units. Prior to this, assessment systems varied across divisions of the college. Implementation of a uniform process systematizes how units across the college capture and assess data, allowing the opportunity for clear alignment of strategic/operational planning with assessment, and organized meta-assessment that can help the college better understand how we are upholding our mission.

Annual Planning and Assessment Reporting Process - Details

Process

The annual planning and assessment reporting process is undertaken by each unit, within each division, every year. It focuses on the assessment of results and learnings from units' annual activities as well as assessing identified support outcomes (SO), student learning outcomes (SLO), and/or institutional advising outcomes (IAO).

The template for Annual Planning and Assessment is divided into 3 sections that units engage in, in sequence:
  • Table 1 - "What did you do this year?"
    • In this section, AES units capture their strategic plan-aligned goals, the relevant unit activities embarked upon in a given year to achieve those goals and (at the end of the academic year) the results of those activities.
  • Table 2 - "How did it go?"
    • In this section, AES units identify at least one support outcome (SO), student learning outcome (SLO), or institutional advisement outcomes (IAOs) to assess and the method of assessment they'll use and (at the end of the academic year) share the results and learning from that assessment.
  • Table 3 - "What do you need?"
    • In this section, AES units capture proposed actions from their earlier assessment and learning and what the unit has determined it may need to enact any proposed actions; this information is reviewed by several entities (including divisional leadership and the college's Institutional Effectiveness Committee) and used for future operational planning and resource allocation.

Timeline

The general timeline for AES units engaging in the annual planning and assessment reporting process is as follows:
  • July/August - AES units start considering goal-aligned unit activities for the upcoming academic year
  • September - Units complete goals, strategic plan alignment, and activities components for Table 1
  • December  - Units have determined the support outcome (SO), student learning outcome (SLO), and/or institutional advising outcome (IAO) they will assess for the current year as well as method of assessment (Table 2)
  • March/April/May - Units collect evidence to assess identified SO, SLO, and/or IAO and analyze data
  • June - Units complete tables 1, 2, and 3 and submit reports
